If your group rents a school facility through the Greater Essex County District School Board (GECDSB), you must follow the rules and regulations outlined on the permit as well as the following policies and procedures:

  • Policy and Regulation: Community Use of School Facilities
  • Fire Emergency Procedures for Occupants
  • Hold Harmless Agreement

Insurance requirements

To get a rental permit, you need to present proof of liability insurance naming GECDSB as an additional insured on the policy. The insurance must cover a minimum $2 million.

Accidents and injuries

Make sure that you know how to respond if an accident or injury takes place while you're renting a GECDSB facility. Review our Accident/Injury Flow Chart for full details.

Rental group responsibilities

If an injury or accident takes place while your group is using a GECDSB facility, you need to:

  • Call 911 if medical attention is required or use your First Aid Kit to treat the injury
  • Advise the facility custodian that an injury took place and provide the name of the injured person, date, time, location and brief summary of the situation
  • Contact the Rental Office the next day to report the injury and provide the name of the injured person, date, time, location and brief summary of the situation
  • Contact your insurance company
  • Provide the Rental Office with a copy of the Incident Report from your insurance company

School board responsibilities

During an injury or accident, the school board and staff will follow these steps:

  • Custodian to provide access to the school's First Aid Kit and telephone (if required)
  • Custodian to contact the Operations Supervisor and provide the name of the injured person, date, time, location and brief summary of the situation
  • Operations Supervisory will determine if the accident or injury is considered critical
  • If the injury or accident is considered critical, they will notify the Health and Safety Officer and Rental Booking Clerk. The Rental Booking Clerk will:
  • Contact the rental group to get the name of the injured person, date, time, location and brief summary of the situation
  • Submit the OSBIE Incident Report form and note that a rental group was involved and provide the name of the group as well as the permit number

What is considered a critical injury or accident?

A critical injury or accident is defined as an injury of a serious nature which has occurred and caused or resulted in:

  • Placing life in jeopardy
  • Producing unconsciousness
  • Resulting in substantial loss of blood
  • Involving the fracture or break of a leg or arm (not a finger or toe)
  • Involving amputation of a leg, arm, hand or foot (not a finger or toe)
  • Consisting of burns to a major portion of the body

Fire safety plan

The GECDSB has a Fire Safety Plan for each facility that is located in the yellow binder in the main office. Review the Fire Safety Plan Pamphlet for more information about how you should respond during a fire emergency.
